How to Choose Your AI Note-taker

Did you know professionals spend over 20 hours a week in meetings? Before AI, note-taking was manual and often disruptive. But now, with AI meeting assistants, you can automate transcription, task management, and summaries, freeing up time for what really matters. So, which tool is right for you?

The best AI meeting assistants enhance your video conferencing platform with features like transcription, summaries, and insights. But with so many options, differentiation can be tricky. Here’s what we looked for when testing these apps:

  • Easy setup: Integration with Zoom, Google Meet, and other platforms should be seamless.
  • AI features: High-quality transcriptions, summarization, and insights.
  • Productivity: Automation features like joining meetings and delivering agendas to save time.
  • Collaboration: Easy organization, search, and sharing with team members.
  • Integrations: The more, the better—especially for CRMs, task managers, or Slack.

Over time, our team evaluated transcription quality and tested integrations to assess how smoothly data flows between tools. We focused on apps that enhance existing workflows without requiring a platform switch or being restricted to revenue intelligence functions.

Many video conferencing apps already offer features like transcription, action items, and summaries, so you might not need an extra tool—especially since it would come with another subscription.

For example:

  • Zoom includes AI features like transcription and summaries, even on its basic paid plan.
  • Microsoft Teams requires an extra add-on (Copilot) for AI transcription and meeting notes, which integrates with your company’s data.
  • Google Meet offers transcription on its Business and Enterprise plans, with more AI features on the way.

However, an external AI assistant might be useful if:

  • You attend meetings across different platforms and want all recordings in one place.
  • You need advanced features like conversation analytics or AI-generated content.
  • You’re on a tight budget and prefer a free option over paying for built-in AI features.

AI companions now see what we see, hear what we hear, and speak in the same language that we use to communicate with one another.…It’s phenomenal to have this AI companion see whatever you see, and talk to you in real time about what you’re looking at.”
